Fees and Charging Policy
Brixworth Centre Pre-School is a not-for-profit charity. We aim to make our setting accessible to as many families in the community as possible. We are registered to deliver free funded childcare places and adhere to West Northamptonshire Council’s Provider Agreement. Children in receipt of Early Education Childcare Funding – 2-year-olds and 3 to 4-year-olds

Funded hours can be claimed for any session

*These fees are voluntary for children using their funding hours. Please note that funding covers the cost of childcare and EYFS provision only; it does not cover snacks, food, consumables, or additional activities. If you wish to opt out, please speak to our Supervisor, who can discuss alternative options with you. Parents who choose not to pay these fees will be required to provide their child’s daily snack and breakfast/afterschool food (if attending these sessions). All food must be brought to pre-school each day in an insulated bag with an ice pack to ensure it remains fresh.

**2-year-old fees apply up to the end of the term in which a child turns 3 years old.

Ad-hoc Sessions
If your child receives funding but you require additional ad-hoc sessions, these will need to be paid for under our private fee-paying structure outlined above.

Session Swapping
As we follow strict staff-to-child ratios in our Pre-School and follow a set funding schedule, we are unable to allow children to ‘swap’ sessions. If you would like to add an extra day or session, please feel free to contact our Supervisor to arrange this. Additional sessions will be charged according to
our private fee-paying structure, as outlined above.

Attendance
Your child will get the most benefit from attending their funded Early Education and Childcare place regularly. Please note that funding cannot be claimed for absences of more than 10 consecutive days, or for a total of more than 30 days within the funding year. If your child exceeds either of these limits, parents or carers may be liable for the session charges.

Daily Snack Fees*
We provide a substantial snack during both the morning and afternoon sessions. The funding we receive does not cover the cost to provide these. These are invoiced at the start of each term (Autumn, Spring, and Summer).

Breakfast and After-school Club Food Fees*
We offer a wide selection of breakfast foods and a light tea during our after-school club. The funding we receive does not cover the costs to provide these. These are invoiced at the start of each term (Autumn, Spring, and Summer).

Uniform
Sweatshirts and polo shirts with our ‘Star’ logo are available to purchase; uniform is optional. The current prices are (these can be subject to change depending on our supplier): –

Fee Changes
If there are any changes to any of our fees or charges, parents/guardians will be notified in writing

Payment Procedure
Bank transfer is our preferred method of payment. Our bank account details are: –

If possible, please quote your child’s name and the invoice number.

•All parents/guardians will receive an invoice via email at the beginning of the first week of each half term. Fees must be paid in full within 14 days.
•Payment for all fees to be made via our preferred method of Bank Transfer.
•If paying using childcare vouchers it is the responsibility of the parent/guardian to inform the Pre-School Administrator.
•If you choose to pay using the ‘Tax Free Childcare’ scheme, please let the Pre-School Administrator know the ID reference number so that we can identify payments.
•All invoiced fees are payable regardless of attendance. Fees are still due for sessions missed due to sickness or holiday.

In the event that we are required to close Pre-School due to reasons beyond our control (e.g. infectious diseases, water/sewerage, heating failure, flood, fire, staff sickness or adverse weather conditions, such as snow and ice), fees will not be refunded for the first 7 days of closure; thereafter, half fees will be invoiced.

Notice Period and Conditions
•To cancel or amend any funded attendance, a minimum of 4 weeks’ notice is required as per West Northants Council Provider’s Agreement.
•A minimum of six weeks’ notice (half a term) is required to cancel or amend any private fee-paying attendance. Private fees will still be charged for the full notice period, regardless of attendance.
•If a child receives funding and leaves after the final headcount day, then we cannot transfer any funded hours to their new setting.
•If a child is in receipt of funding and joins Brixworth Centre Pre-School after the final headcount day, then we will not request a transfer of funded hours from the previous setting, and fees will be apply until a new term starts.

Drop off and collection times
• Continued late collection of your child will incur a charge of £10 per session.
• Repeated late drop-offs and/or early collection of your child may result in the Council withdrawing funding for the affected hours. If funding is withdrawn, the pre-school will invoice the parent(s) for any hours no longer covered by funding.

Late Payment (applies to privately paid for sessions only)
•Parents/ Guardians are responsible for paying the invoices issued by Brixworth Centre Pre-School. If fees are not paid, late payment fees will automatically be applied:
•Late payment fees: £5.00 after 14 days, and £5.00 per week thereafter.
•If a child is absent for more than 5 days due to a pre-arranged operation or hospitalisation, please contact the Pre-school Administrator.
•If, after three requests, the outstanding balance has not been paid, we will advise the parent/guardian that the child will no longer be able to attend their sessions until the balance has been settled.
•If, for any reason, fees cannot be paid due to financial difficulties, please contact our Administrator to arrange a payment plan.
